The problem: demo setup that depended on an email chain
To arrange a free demo, a business filled in CareUp’s website form. CareUp then had to email back and ask for team details before the demo could be set up.
The process depended on the business replying to the same email thread. If someone replied in a new email, the automation could fail. Interested businesses were left waiting, and the team had to manage follow-ups by hand.
What we built: one automated demo setup instead of an email chain
We moved the demo setup onto CareUp’s website and connected the form, account creation, emails, booking page and CRM into one process.
- A two-step form: collect business details first, then the team and user details.
- Automatic account creation: create the demo team and user accounts when the form is submitted.
- Automatic follow-ups: send confirmation, reminders and notices before demo access expires.
- Team notifications: alert CareUp whenever a business submits the form.
- One CRM: capture form leads and Calendly bookings in the same place.
- Step 1:
Stage 1DetailsBusiness enters its name and contact details.
- Step 2:
Stage 2TeamAdd team details and demo users.
- Step 3:
Stage 3CreateDemo team and accounts are set up on submission.
- Step 4:
Stage 4TrackLeads and bookings appear in the CRM.
The result: a two-step demo with no email chain
Businesses can set up a team demo in two steps, without waiting for a manual email exchange. CareUp’s team can also see form submissions and demo bookings in one CRM.
- No email chainBusinesses provide their team details directly on the website.
- Accounts on submissionThe demo team and its user accounts are created automatically.
- Follow-ups handledConfirmation, reminders and expiry notices are automated.
- Every lead in one placeWebsite form leads and Calendly bookings are tracked together.
What changed for CareUp’s demo onboarding?
Demo setup moved from an email-dependent process to a website flow with automatic account creation and central lead tracking. Businesses no longer wait on a reply in the same email thread, and CareUp’s team no longer manages follow-ups by hand: confirmations, reminders and expiry notices go out automatically.
